Your call data already has the answers, i.e. which campaigns are booking jobs, why call volume dropped last week, which leads never got a callback, and what’s stopping callers from booking. Getting those answers usually means opening reports, setting filters, and digging through call logs and transcripts.
Using your CallRail data with AI lets you type a question in plain language and get a quick, informed answer. Everyone has their own level of comfort with AI, and CallRail gives you two ways to get started: Ask Ringo and the CallRail MCP connector. Both help you review calls faster and act on what you find when you're ready.
Start where you are with AI
If AI still feels new, don’t worry - you have company. A 2026 IDC report for SAS, drawn from a survey of 1,600 small and midsize business leaders, found that 37% are still experimenting with AI. Only 9% have fully built it into their strategy, operations, and decision-making.
Where you start depends on how you use AI today.

You don't have to pick one. Ask Ringo is the easiest place to start, and the connectors go further when you want to work across accounts and other tools.
Get answers quickly without leaving CallRail
Ask Ringo is the AI chat built into CallRail. Select the purple AI button in the top right, type a question, and read the answer. You don't need to set anything up.
You can ask about call trends, missed calls, top lead sources, lead history, forms, and texts. Ringo can also explain how to do something in CallRail and point you to the right page. If you have Premium Conversation Intelligence™, you can search transcripts and work with call summaries and sentiment analysis.
Ask why your calls dropped, and Ringo can point to a likely cause and a setting or campaign worth adjusting. Questions about call transcripts can go further. Ask what callers want to know before they book, and the answers can show where to clarify your website, add a service, or adjust your keywords. Ringo can look at your data but can’t change anything in your account.
Try asking Ringo:
What high-value leads did I miss today?
Which campaigns are driving the most conversions this week?
How do I set up a tracking number?
What do callers ask about most before they book?
Get more from your call data in Claude
The CallRail MCP connector fits anyone who already works in Claude. If you work in ChatGPT or HubSpot, connectors for both are coming soon.
Skip the copy and paste with an MCP
An MCP (Model Context Protocol) is a standard way for AI tools like Claude to connect to other apps and use their data. You would otherwise paste call data into Claude by hand. The CallRail MCP connector lets Claude retrieve your calls, forms, and texts directly. Ask Ringo doesn't need one, since your data is already inside CallRail.
Get answers and take action with Claude
The connector lets you ask questions across your call data and act on what you find.
- Pull from one location or every client account at once.
- Connect your CRM, ad platform, and analytics tools to Claude , and you can combine all that data in one conversation.
- Bulk changes are covered as well, such as tagging calls, fixing records, creating tracking numbers, and managing user access.
- You can also pull a lead’s full timeline, plus transcripts with Premium Conversation Intelligence.
Agency tip: Make one change across every client. Ask Claude to add the same tag or create the same tracker for every client account at once.
When you roll out a new lead-quality tag or naming convention, every client account matches the same day, so your reports compare cleanly across your whole book of business.
Claude can point to likely reasons your calls changed. It can then suggest a next move, such as putting more budget behind a campaign, fixing a call script, or following up with a missed lead that looks promising.
How to connect CallRail to Claude
You add the connector from inside Claude, so there's no code to write and nothing to install.
Setup takes four steps.
- Go to Customize in Claude, then choose Connectors. Search for “CallRail.”
- Select the official CallRail connector and choose Connect to Claude.
- Log in with your CallRail credentials and authorize every account you’re a user on.
- Set permissions for the tools you want Claude to use.
Agency tip: Set tool permissions to Needs approval for anything that changes your account or sends texts. Claude then asks before it acts.
With every client account connected, one vague prompt could text the wrong client’s leads or change the wrong account, so keep a person in the loop on anything a client would notice.
You might need a paid subscription to use connectors, depending on your Claude plan. The CallRail MCP support doc also covers Claude Desktop setup.
Prompts you can try out
Claude answers what you ask, so a specific prompt gets you a more useful answer.
These prompts are a starting point: adjust them to fit your business.
- Grade last week’s calls for [client]. A good call is one where the caller booked an appointment.
- Which of my clients need attention this month, and why?
- Did any of my clients stop getting calls this week?
- Which texts are still waiting on a reply?
- Export every tracking number in my account and flag any that record calls without a recording notice.
Agency tip: Keep your playbooks in a Claude project. A Claude project is a saved workspace, so add your reporting steps and client notes, and every new conversation starts with them.
Set up one Project per client, and any account manager can pick up the account and write an update in your agency’s format, even when the usual owner is out.
Swap manual data pulls for answers on demand
Questions about your calls tend to come up at the busiest moments, like right before a client meeting. You could ask Claude those questions on the spot through the connector.
Take Priya, who runs a six-person agency with 40 client accounts. Every Monday, someone spends half a day pulling call and form data by hand. They combine it with client notes in HubSpot and spreadsheets so the team can write client updates.
Once she adds the connector, Priya asks Claude for each client's performance summary by name and gets the numbers back in seconds, already combined with her other data. Her team spends Monday on strategy instead.
Scenario
Example
Call grading
An agency running Google Ads for a transmission shop asks Claude to grade last week’s calls against its own definition of a good call. It gets back “4 of 18 booked, 10 got a quote and didn’t book,” plus a callback list. (Needs Premium Conversation IntelligenceTM.)
Client health check
Before monthly check-ins, a CSM asks Claude which clients need attention. They get a 1-page report per client: a tracking number that went from 5 calls to 0, a call flow with no voicemail, a website loading another client’s tracking code.
Weekly early warning
Every Monday, an agency managing 900 clients gets one list of what changed. Example: a hotel’s calls stopped on the 1st (the campaign likely ended), and a preschool missed all 26 Google Ads calls while its Facebook calls got answered.
Monthly client reports
An account manager asks for last month’s reports. They get a roll-up across every client and a short results report per client, with the agency’s name on it, ready to paste into an email.
Text inbox triage
Claude reads every client’s text inbox, skips marketing blasts and login codes, and lists the people waiting on a reply, with a draft for each. Nothing gets sent without approval.
Agency tip: Build reports you can refresh. Ask Claude to build your report as an artifact, a saved report you can update each month instead of starting over.
Use the same layout for every client, and your monthly check-ins and QBRs start with consistent, ready-to-share numbers instead of a scramble the night before.
Keep your usage under control
Broad questions can eat up token usage and increase costs. Ask about one account and one date range when you can, and save the prompts that work so you don't rerun broad ones.
AI only sees what you can see
Ask Ringo and the CallRail MCP connector only show data your CallRail user can already see. You approve the connector's access on CallRail's secure login screen, and you choose which tools Claude can use.
