Never Miss a Lead with Quick Response and Automated Response

Quick Response

Did you know that 78% of customers buy from the company that responds to them first? Quickly responding to your leads is always important, but it’s even more important during the busy and competitive holiday season.

For customers using our Form Tracking product, you can use Quick Response to connect with your leads instantly. Quick Response turns your web form submissions into phone calls so you can quickly connect with your customers.

Quick Response

Each time a lead fills out a form on your website, you’ll receive a phone call or text message. Each message will include the contents of the form and contact information to respond to the lead. If you choose to receive a phone notification, you’ll have the option to connect to the customer for an instant callback. This will ensure you’re the first business to contact your lead and give you a competitive advantage at winning their business.

You can set your business hours for Quick Responses, so you and your team only receive notifications during your working hours.

Quick Response is available to customers using our Form Tracking product. If you’re not a current Form Tracking customer but ready to get started, sign up for a 14-day free trial.

Automated Response

When you’re dealing with another lead or away from the phone, you can still give your leads a timely and personal response using our Automated Response feature for missed calls and form submissions. Automated response allows you to automatically send a text message to the customer for each missed call and form submission.

If you miss a call, an automated response can let the caller know important information like your business hours and when they should expect to receive a call back. This helps reassure your leads and customers that their call isn’t lost in a sea of other communications and helps keep them engaged until you can give them a return call.

Auto Response Call

If a lead submits an appointment request form, you can use Automated Response to confirm to the customer that the request was received and inform them of the next steps in the process.

You’re in charge of what we send in the Automated Response, so you can be sure each message is friendly and consistent with all your communications with your leads and customers. Each Automated Response shows as a communication on the customer’s timeline, so you can see exactly what was sent to the lead and when.

Automated Response is available to all customers for missed call responses, and our Form Tracking customers for form submission responses. Setup is quick & easy; you can find the full instructions in our support article.

Lead Center: Prepare for the holiday season by adding agents

The holidays can be a tricky time of year for small businesses. If you’re in retail, healthcare, or e-commerce, things pick up big time. Maybe you add on seasonal workers to handle more incoming calls, or maybe you want to ensure no call goes unanswered as team members have taken some well-deserved time off to spend with their families for the holidays. This is why we made it easy to adjust your Lead Center agent count to prepare for the holiday season.

From the Account settings page, you can easily make an existing CallRail user an agent of Lead Center.

Adding Agents

To add a new agent, simply use the Add Agent dropdown that lists all current non-agent users on your account.
